Free personal training software for gyms: what you need and what you don't

If your gym's product is coaching — personal training, small groups, semi-private — you've probably been sold membership software that counts door swipes and bills dues, and wondered why the actual training still runs on spreadsheets and group chats. Training software is a different category, and a good deal of it is free now. Here is what a free plan has to include for a gym, what it usually doesn't, and how to trial one without disrupting the floor. Training software is not membership software

Membership platforms answer "who is allowed in and have they paid?". Training platforms answer "what is each client doing this week, who programmed it, and how is it going?". Most training gyms run both, and the mistake is expecting one to do the other's job. For the coaching side, the questions that matter are about programs, sessions, forms and the client's phone — not access control.

The four things a free gym plan must include

  1. Trainer seats — plural. A free plan built for a solo coach gives you one login. A gym needs a roster of trainers, each with their own clients and calendar, under one account. Look for at least three seats free; that's a real studio, not a demo.
  2. An owner's view. Every roster, every schedule, every lead, in one place. Without it the "gym account" is three solo accounts that happen to share a logo.
  3. Your brand on the client's phone. Clients belong to the gym; the app they open should say so. If the free plan puts the software vendor's name on the client experience, the vendor is renting your clients back to you.
  4. A way in for new clients. A public page with lead capture is the difference between software that runs the coaching and software that also grows it.

The two things free plans usually hold back

  • Branding. Custom branding is the most common paid gate in the category, because it's the feature that turns a tool into your product. Check whether the subdomain or the app skin is on the free plan or on the tier above it.
  • The coaching workflow. Intake forms, check-ins, meal plans, payments. A plan that offers workouts free and gates the rest is free for delivery and paid for the practice.

How to trial it with three trainers

  1. Pick three coaches who'll actually try. One skeptic, one enthusiast, one who runs the most clients. You want the range.
  2. Move two clients each, not the whole roster. Real clients, real programs, alongside whatever you use today. Two weeks.
  3. Judge the client's experience, not the admin's. How many taps to today's session? Did the check-in get answered? Did anyone ask "what app is this"? Their answers are the evaluation.
  4. Look at the owner's view on a Monday. Can you see the week across all three without asking anyone? That's the feature you were missing.
